Pro Tips

View and Export Your List of 'Request More Info from Author' for Your Poster or Oral  |  Go to this page to view list of your requests. If you are a submitting author of poster or oral this same page is enabled for you to Export your request history as a CSV file of requests made to you for follow up. In the mobile app, look for the My Author Requests under the More... button.


How to Answer Questions Submitted to 'Submit a ? | Q&A Portal' in the app and planner. Authors should go here for detailed instructions to answer (and publish answers) to questions on their presentations. Attendees who have asked questions should return periodically to view the answer to their asked questions and see other questions asked and answered about a specific presentation. Attendees may consider bookmarking presentations where they have submitted a question in order to easily locate these presentations. 


Using the Full-Screen feature to view recorded webinars in the online planner. We have learned that the full-screen only functions with Chrome browser (not Firefox.) If you are using a browser other than Chrome and wish to view full-screen, please consider installing/using Chrome browser for the online planner. We know that this is not ideal for all and we are sorry for the inconvenience.

General Info for Planner & App

Recorded Webinars |  All are color-coded in yellow to easily distinguish from the Oral and Poster on-demand content blocks (a darker blue and red.) Each recorded webinar presentation will display a 'View Recording' button. This message / button is located BELOW the panelist/speaker list. In some cases, there is a long list of panelists, so keep scrolling until you see the button.


On-Demand Content (Posters-Orals) and Program Codes  |  Each on-demand presentation, poster or oral, carries a typical ASMS program code (WP 001 = Wed Poster 001 or ThOB pm 03:30 = Thurs afternoon Oral session B in the 03:30 slot). These codes indicate a day and time, however, they are used for organizational purposes only. All on-demand posters and orals are displayed on the June 1-4 dates. Attendees have access to all on-demand content now through August 31. For example, you do not have to wait until Thurs, June 4 to access on-demand Thur orals or posters.


Buttons Available for On-Demand Posters and Orals  |  Find buttons for short abstract (PDF icon), View ePoster (to display submitted poster), and Watch Video (for orals and optional for posters.) Attendees will see 'Submit a ? - Q&A Portal' to leave a question for authors to answer, return to this portal periodically to find answer to your questions. Authors access a special portal to post their answers. There is not real-time notification so you will want to return to the oral or poster where you posted question to see the answer. Once the author publishes their answer both the question and answer become visible to all. A 'Request More Info from Author' button is the equivalent of dropping your business card or last year's poster QR scan code (though this year the button is enabled for orals, too.) If you are submitting author for a poster or oral, find instructions to access and use the QA portal to answer submitted questions under Presenter Guidelines at ASMS website.

Agenda Tab  |  Tools for Export of Calendar, Notes & Bookmarks. This tab search is by day. Search covers session name, abstract title, authors, and affiliations. 

Exhibitors Tab  |  Alphabetical listing of all exhibitors with our featured exhibitors on top. Also searchable.

Abstracts Tab  |  This search is across all days and includes abstract title, body of  (orals and posters).

Author Index Tab – Search includes Name and Affiliation. If an author is presenting the poster or oral presentation will display in addition to the media item only. If an author is a second author only the media item will display.

Note: Unlike this planner the mobile app contains a Search Everything bar at the top.

TIPS FOR ONLINE PLANNER

Your saved items (bookmarks, calendared items, notes) on this online planner will sync with mobile app (if you download/install).

From the Online Planner 'AGENDA' tab you may download your schedule (calendared items) and notes and bookmarked items 3 ways:

  1. Download a CSV
  2. Download into your Outlook or Google Calendar.
  3. Create and download a PDF that can be printed at home.
    To download, look for the calendar and PDF symbol under My Filters on left hand side. You must be logged in to view these icons or options.

Dates displayed are June 1-12 |  to advance dates displayed, look for very faint arrow to the right of last date visible. To go back, look for very faint arrow on the left side.

ATTENDEE WEBINAR GUIDE


NOTE: These instructions are for ATTENDEES ONLY. If you are a co-host, panelist, presider, or chair, you must use the special Zoom link sent to you AND use the Zoom native app from a laptop. For more detail, visit the Presenter Guidelines page at ASMS.org.

A word about Pop-up Windows: Before joining from a desktop or laptop, please ensure that pop-ups are disabled on Google Chrome browsers. You can learn how to disable pop-ups through the Google Chrome Support page.


THE BASICS & HOW-TO JOIN

    1. We encourage attendees to CALENDARIZE the webinar in the app or planner. This will help us provide the best user experience possible. Simply click the +Calendar icon (upper right of Webinar listing.)
    2. Go to the Webinar you would like to attend virtually about 5 minutes before the webinar should start. Please note that the time displayed is the local time where the conference is being held. There will now be a Join Webinar button below the list of panelists.
    3. Press the button. You should automatically be launched into the virtual webinar. NOTE: If you are prompted that EP Virtual would like access to your microphone, select Yes so can speak if you Raise Your Hand during the webinar and a co-host enables you to speak.
    4. Shortly after the virtual webinar concludes the button will change to View Recording.


WEBINAR CONTROLS FOR ATTENDEES

If you do not see any control buttons on your screen, tap once in the center of the screen to unhide the Zoom webinar menu. You should then see a variety of buttons. 


Join Audio

Call using Internet Audio is the simplest option to join the audio portion.


Mute/Unmute

If available, you can unmute your microphone to speak. Stay muted if you are not speaking. NOTE: that the default setting for our webinars is that all attendees will be muted, can not un-mute themselves unless granted permission, and all attendee video will not be shared.


Q&A icon

There is a Q&A feed within our webinars. There is upvoting for questions. Questions asked will be made visible to all by the co-host(s) or panelist(s). Depending on the type of webinar some questions may be answered in real-time, others may be stored until a planned open discussion or Q&A period.


Chat icon

This will be disabled for attendees. If our technician or a panelist/co-host wishes to communicate directly with an attendee they can send a chat directly to attendee. If, as an attendee, you see a number appear on the Chat icon, please open. This will be a chat message for you.


Hand Raise icon

This can be used at any time, but the primary use is during announced open discussion/Q&A periods. For example, during a Workshop webinar the panelists may ask attendees if there is someone who would like to speak. A 'hand raise' in this instance allows an attendee to be identified and the co-host/panelist can enable the attendee audio so they may participate in a conversation.


Start Video

If you see this option, turn on your video as this helps presenters see and connect with their audience.


Participants Icon

Attendees see list of all hosts, panelists, speakers, chairs participating in a webinar. (Hosts, panelists, speakers, and chairs see complete list of all attendees.)


Switch to Gallery View

You may see this option on larger screens. It allows you to see a larger number of participants and their video. You may be able to swipe left/right


Swipe

Depending on your device, you may be able to swipe left/right on a mobile device to see different views of presenter screen or their video.


ATTENDEE ETIQUETTE

  • If you see the microphone icon, mute yourself when you are not speaking.
  • If you see a camera icon, turn on the camera so the presenters can see you and can connect with their audience.
  • Respond and participate when speakers ask for your input.
  • Do not attempt to share the zoom URL.


RECORDINGS Available to Registered Attendees After Each Webinar

All webinars will be recorded. Recordings within a few hours of the conclusion of the live webinar. Recordings will appear in the app and planner as a 'View Recording' button (in place of the 'Join Webinar' button.)
